Bookkeeping
The backbone of the Headquarters is its Accounting & Finance Department and the backbone of Accounting & Finance is bookkeeping.Every transaction of a business is tracked with absolute detail by experienced bookkeepers and accountants.We use Quickbooks for automated on-line bank account downloads from checking, savings, credit card, Paypal, & investment accounts, and assign each debit and credit to the correct account in your businesses chart of accounts to develop your business's monthly & annual income statements.We also commonly use Quickbooks for such features as invoicing, receipts, accounts receivable, accounts payable, reporting, inventory, reconciliations, loans, and tax purposes such as preparing IRS Forms 1099s & 1096s.
Financial Statements
At the end of each month we "close the books" and balance all accounts so they are reconciled in Quickbooks.At that time, the financial statements are prepared.This is an essential piece of the puzzle because with these reports in place, the Finance side of the Accounting & Finance Department takes over and brings to life the story that the numbers are trying to tell us.
Invoicing
We have several invoicing system options to choose from that probably fit most any small business.There is also environment friendly electronic invoicing options that help save on the cost of stamps, paper, and envelopes.
Accounts Receivable
Whether you collect receivables via checks, credit cards, cash, point of sale credit/ debit machines, merchant accounts, money orders, etc.We keep a record of the amounts owed to your business and see to it that they are received in a timely manner and properly deposited into the appointed receivables account(s). All of our clients add their HQ Pro as a signor of their banking accounts for added efficiency when making deposits.
Collections
We keep a close eye on the aging of accounts receivables.We can contact the vendors or customers that are behind on paying your Invoice and attempt to make arrangements for satisfying their balance owed.If your business includes the Legal Department plan into its headquarters, for no additional charge each month an attorney can write letters to a certain number of vendors or customers that are late paying their balances to your business.
Accounts Payable
Organization of schedules and communication are key essentials to a sound accounts payable system.Your HQ Pro will keep your vendors and sub-contractors paid accurately and on-time either in the form of paper checks or electronically via credit cards or merchant accounts.All of our clients add their HQ Pro as a signor of their banking accounts for added efficiency when paying bills.
IRS Forms 1099 & 1096 + Tax Prep for your CPA
The HQ Pro spearheads the collection effort of IRS Form W-9 from each of the subcontracts you pay over $600 in a calendar year.The HQ Pro calculates the amounts paid to your sub-contractors during the business's year and distributes 1099s to the sub-contractors and Form 1096 to the IRS.All tax related documentation (examples:bank statements, loan statements, Payroll Year End Reports, Quickbooks File, etc.) is collected throughout the year and submitted to the CPA of your choice to file that years taxes.
Payroll
This is mainly a Human Resources Department service; however, the HQ Pro is heavily involved in this service as well. You tell us how often you would like to run payroll and we'll see to it that the proper salaries, draws, commissions, etc. are calculated and reported for your member draws, W-2 employees and 1099 Independent Contractors for processing.There are several solutions to consider when setting up payroll.Your HQ Pro will assist you in determining which available options are best for your business.
Credit Card Merchant Accounts & On-Line Shopping Cart Maintenance
Most of our clients have merchant accounts and on-line shopping carts to facilitate credit and debit card transactions over the internet.We have experience working with several different merchant account providers and shopping carts.If your business does not yet transact business on-line or by using credit & debit cards, we can help you get set up.
